File Organization & Compliance

Every transaction begins with a carefully structured file to ensure accuracy, transparency, and broker compliance.

• Create and organize the transaction file within the system
• Review executed contracts for signatures, dates, and required details
• Upload and maintain required documentation for broker compliance
• Maintain a clean, well-organized digital file from contract to closing

Communication & Coordination

Clear, professional communication keeps the transaction moving smoothly and protects the agent’s relationship with their clients.

• Send a polished introduction email outlining the transaction timeline and key dates
• Coordinate communication between lender, closing attorney/title company, and cooperating agent
• Provide consistent status updates so you always know where the file stands
• Keep you copied on major communication to ensure full visibility

Timeline & Deadline Management

Contracts move quickly. Careful timeline oversight ensures no detail is missed.

• Track all contract deadlines and contingency periods
• Monitor inspection, appraisal, and financing timelines
• Confirm earnest money receipt with the closing office
• Update timelines as amendments are executed
 

Document Management

Accurate document handling ensures every party has what they need while maintaining full compliance.

• Organize and distribute executed documents to the appropriate parties
• Maintain complete document records within the transaction file
• Upload final closing documents for broker compliance
 

Pre-Closing Coordination

As closing approaches, every detail is reviewed to ensure a smooth and professional finish.

• Confirm closing appointment details with all parties
• Review the file to ensure required documentation is present
• Verify the closing office has necessary documents for settlement
• Notify all parties once the transaction has successfully closed
 

Buyer-Side Support

Buyer transactions require careful coordination across multiple parties.

• Provide executed contracts and amendments to the lender
• Monitor loan progress and appraisal completion
• Confirm earnest money delivery reminders
• Provide utility transfer reminders for the client
• Coordinate closing gift delivery per agent instruction (if applicable)
• Send post-closing review requests on the agent’s behalf
 

Seller-Side Support

Seller transactions are managed with the same attention to organization and professionalism.

• Upload listing agreements and broker-required documentation
• Maintain complete compliance documentation throughout the transaction
• Ensure all executed documents are properly distributed and stored
• Coordinate closing gift delivery per agent instruction (if applicable)
• Send post-closing review requests on the agent’s behalf
 

Agent Responsibilities

To maintain compliance and proper representation, agents remain responsible for:

• Negotiating contract terms, repairs, and amendments
• Providing direction or wording for requested document changes
• Reviewing settlement statements and title work
• Advising clients regarding contingency removals and contract decisions
